Koningsberg Risk & Solutions (hereinafter "the office") takes your data protection rights seriously. In this document we explain how we collect, process and use your personal data. It constitutes the office's general policy on data processing in accordance with applicable legislation, including the General Data Protection Regulation (GDPR).
As an insurance broker, the office may fulfil a dual role in terms of data processing. In that case, we act both as data controller and as data processor. We take on the role of data controller when we process data in our own name and for our own account. In addition, on behalf of the insurance companies, we also fulfil the role of data processor. This means that we also collect and process personal data for the insurance companies with whom we work and whose products we present and offer to you. In this statement, we only go into detail on the processing of your data in our capacity as data controller.

For any questions regarding our privacy policy, you can contact us at info@kbrs.be. For questions that go beyond a simple request for information, we may ask you to identify yourself, so that we can be sure that we are providing the requested information and data to the correct person.
When does our office collect and process data?
The office collects and processes data about you when you contact us for advice on insurance contracts, the offering or proposal of insurance contracts, preparatory work with a view to concluding insurance contracts, and the conclusion of insurance contracts itself. In addition, you can also call on us or contact us for assistance with the management and execution of the insurance contracts you have concluded. We will also (have to) process your data whenever you contact us in any other way. Finally, it is also possible that we obtain data about you via third parties and use this data to approach you in order to conclude an agreement through our intermediation.
For what purposes does our office collect and process data?
The purposes for which we process data are diverse in nature and are set out below.
For our clients, we process this data for client management, in particular the acceptance, management and conclusion of insurance contracts and the promotion of other products and services of our own office. These processing activities are mainly based on the contractual relationship with our clients, but also, insofar as prospecting is concerned, on your explicit consent.
Towards suppliers, we process this data as part of our supplier management and on the basis of the contractual relationship we have or are building with our suppliers.
Insofar as it concerns prospects, i.e. natural persons who are not (yet) clients of ours, we process the data for direct marketing purposes, based on our legitimate interest in doing business. We ask prospects who are approached by e-mail for their explicit consent to be able to approach them again in the future. Prospects who are approached by letter are asked to tick an opt-out clause if they do not wish to be approached by us further.
Towards our employees, we process the data for purposes such as personnel management and payroll administration.
As regards our website, we tailor its content and ease of use as much as possible to you as a user. In addition, we process your data in order to comply with the obligations arising from making a website and its content available, and to enable you to make use of the interactive applications and services on this website.
What are the legal grounds for the processing of data by our office?
In principle, we collect and process your data on the basis of the contractual relationship we have with you as a result of your application or request in connection with an insurance need and the resulting agreement(s), as well as as a result of the request to assist you in the management and follow-up of the insurance contracts you have concluded.
Where the processing is not necessary to perform the contractual relationship, it is based on our legitimate interests as a company, in particular the freedom of enterprise and information. In doing so, we always ensure that there is a balance between our interests and yours, for example by granting you a right of objection.
Insofar as it concerns health data or so-called sensitive data, we can only process your personal data with your explicit consent. This is requested from you at the moment you become a client with us. If this has not happened, we would like to ask you to inform us of this, so that the necessary steps can be taken.
Is the data disclosed to third parties?
Your data is mainly processed internally. This does not alter the fact that it must be disclosed to the insurance company with whom you ultimately conclude the contract.
It is possible that we call on third parties for certain specific services. In such cases, your data may be provided to these third parties, but only for the relevant service and always under the supervision of our office.
In certain cases there is a legal obligation to transfer certain data. This is the case in particular when we are legally obliged to do so or when government authorities are entitled to request data from us.
In principle, your data is not transferred to third countries or to international organisations.
Your rights
The regulations grant you various rights that must ensure you are sufficiently protected.
You may object at any time to the use of your data by our office for direct marketing purposes. If you do not wish to be kept informed of the offers of our office, you can report this via info@kbrs.be or by ticking a box in the information provided to you on specific occasions.
You can always view the data we process about you and, if necessary, have it corrected. To do so, it suffices to request this via info@kbrs.be, with proof of your identity. We ask for this to prevent your data from being disclosed to someone who has no right to it.
If you disagree with the way in which we process your data, you can always file a complaint with the Data Protection Authority, Drukpersstraat 35, 1000 Brussels. You can also go there for all general questions relating to the processing and protection of personal data.
Changes
Our office reserves the right to amend this statement. Changes will be communicated to users via the website.
